The client ran the operations function of a 60-person SaaS company. Over 3 years, the ops team had built 40 Zapier automations that connected their CRM (HubSpot), support tool (Zendesk), billing system (Stripe), data warehouse (BigQuery), and internal Slack channels. The problem: Zapier is great for 1-step and 2-step automations. The admin UI supports creating simple trigger-action workflows via a configuration form. Complex multi-step workflows with conditional branching require developer involvement to define the logic. The trade-off vs. Zapier: less flexibility for non-developers, but complete reliability and visibility for complex workflows.

Steps that fail due to external API downtime are retried with exponential backoff. After 3 retries, the step is marked as failed and an alert is sent. The operations team can manually re-trigger the workflow when the external API recovers.
