The agency running custom software outquotes, out-services, and out-retains the one on Applied.
We build custom software for insurance agencies — quoting tools, policy tracking systems, renewal management platforms, and the client communication workflows that reduce E&O exposure and improve client retention. Fixed scope, fixed price.
Your AMS (Applied Epic, Hawksoft, EZLynx) handles the policy of record. It doesn't handle the renewal pipeline management, the proactive outreach scheduling, or the E&O documentation discipline that your agency actually needs.
Insurance agencies have an AMS that does what an AMS does: store policy data, manage certificates of insurance, and produce the required regulatory documentation. What an AMS doesn't do is manage the relationship — the proactive renewal outreach that happens 90 days before expiry, the coverage review that surfaces gaps before a claim, the post-claim follow-up that retains the client who just had a difficult experience.
Retention is the metric that separates profitable agencies from marginal ones. A 90% retention rate on a $2M book means you're replacing $200k of premium every year. An 85% retention rate means you're replacing $300k. That $100k difference — and the agency's ability to grow rather than tread water — is almost entirely determined by the proactive outreach process in the 90 days before each renewal.
Most AMS systems generate a renewal list. They don't generate a managed workflow with tasks assigned to producers, contact logged, coverage review documented, and escalation triggered when a renewal isn't addressed by 60 days out. Custom agency software builds that workflow, enforces the process, and gives agency owners the visibility to know where every renewal stands at any point in the cycle.
Custom insurance agency software that manages your renewal pipeline, automates proactive client outreach, and maintains the documentation discipline that protects your agency from E&O exposure.
Renewal pipeline management
Renewals by expiry date, status, producer, and coverage type. 90/60/30-day automated outreach tasks generated per policy. Task completion tracking and escalation when renewals are at risk of being ignored.
Producer accountability dashboard
Each producer's renewal retention rate, pipeline by stage, tasks overdue, and new business activity — giving managers the visibility to coach on behaviours that affect retention.
Coverage review and gap analysis
Structured coverage review checklist per policy type, logged against the client record. E&O documentation for declined coverage recommendations — the paper trail that protects the agency if a client is underinsured at claim.
Client communication tracking
Every contact — call, email, meeting, text — logged against the client record with outcome notes. Automated follow-up scheduling from the outcome of each contact.
Certificate of insurance request management
COI requests received by email, parsed, routed to the responsible producer, generated in the AMS, and returned to the requester — with tracking on turnaround time and outstanding requests. Built on Next.js, Postgres, email integration (IMAP/SMTP for contact logging), and AMS API or CSV import/export integration.

Why Fixed-Price Matters Here
Agency principals are running businesses with very clear unit economics: premium, commission, and retention. A technology investment that can be calculated against retention improvement has a straightforward ROI. Fixed scope and fixed price lets you make that calculation with confidence.

Applied Epic has a limited REST API; we use it where available and supplement with scheduled export/import where API coverage is incomplete. EZLynx has a similar approach. The custom software becomes the workflow layer on top of the AMS rather than replacing it.
We integrate a lightweight click-to-call and email logging mechanism. Producers can log contacts in under 30 seconds from the renewal record or client record. Email integration automatically captures emails from the producer's inbox and attaches them to the relevant client record.
Yes — automated outreach emails (with producer personalisation) can be triggered at 90/60/30 days from the renewal date. Producers review and approve before sending, or the agency can configure fully automated sends for lower-value renewals.
Renewal pipeline, producer dashboard, coverage review documentation, and COI management typically runs $40k–$80k. AMS integration depth and the number of coverage types are the main variables. Fixed-price.
