Revenue Automation for Service Businesses | RCB Software

Revenue Automation / Starting project price

Turn missed opportunities and manual follow-up into reliable workflows.

RCB Software builds focused automation systems for service businesses that need a better way to handle leads, enquiries, follow-up, customer communication, and repetitive operational work.

Where it fits

Make repeatable work easier to handle.

Revenue Automation is for a narrow workflow that can be defined clearly before a larger system is needed.

It may fit when

  • Leads or enquiries go unanswered or receive inconsistent follow-up.
  • Estimates, reminders, updates, or customer intake depend on someone remembering.
  • Staff repeatedly copy information between messages, forms, and existing tools.
  • The normal path is clear enough to automate while exceptions stay visible to the team.

A Custom Business System may fit when

  • The project needs several connected workflows or a larger custom application.
  • Customers or staff need accounts, private records, dashboards, or permissions.
  • The process needs a shared operational system rather than one focused automation.
  • The workflow is still too unclear to define a responsible first release.

Problems to remove

Important work should not depend on memory.

A focused automation project starts with the repeated handoff that is costing attention or creating avoidable uncertainty.

Common friction

The next step is easy to lose.

  • Leads going unanswered
  • Inconsistent follow-up
  • Forgotten estimates
  • Repetitive data entry

Operational friction

People keep rebuilding the same context.

  • Staff copying information between tools
  • Manual customer updates
  • Enquiries handled differently by different employees
  • Important tasks depending on someone remembering to do them

What RCB can build

Focused workflows around the work you already do.

The final scope decides what is built, what stays human, and which existing providers remain responsible for their part of the process.

  • Lead intake workflows
  • Enquiry routing
  • Automated follow-up
  • Appointment and scheduling workflows
  • Quote and estimate follow-up
  • Customer notifications
  • CRM integrations when existing provider APIs and scope support them
  • Tool-to-tool integrations
  • Internal alerts
  • AI-assisted workflows when appropriate

Automation Pilot

Improve one workflow before expanding the system.

Automation Pilot is a tightly scoped project focused on one business workflow. It is not a promise that every connected process belongs in the first release.

One lead process

Capture and route the right details.

Collect a useful enquiry, create a clear next step, and notify the person responsible.

One follow-up process

Make the next contact consistent.

Trigger reminders or messages from defined events while keeping exceptions visible.

One admin process

Remove a repeated handoff.

Replace one repetitive administrative task or connect a small number of existing tools where appropriate.

Scope and delivery

Define the workflow before automating it.

A useful automation has a clear trigger, required information, owner, normal path, exception path, and completion state.

  1. 01

    Trace

Follow one real lead, enquiry, customer update, or administrative task from its trigger to the outcome.

  2. 02

    Choose

Keep useful tools, identify the missing handoff, and decide what should remain with a person.

  3. 03

    Pilot

Build the smallest coherent workflow and test ordinary cases, missing information, and exceptions.

  4. 04

    Review

Confirm what became clearer, what still needs human judgment, and whether a larger system is justified.

Commercial boundaries

The workflow is scoped with its providers and responsibilities.

Final pricing depends on the actual workflow, data, users, tools, testing, and support requirements.

  • Final scope determines pricing
  • External API costs are not included unless explicitly quoted
  • SMS, telephony, AI, and third-party software costs are separate unless explicitly included in writing
  • New workflows and material changes are scoped separately
  • Automation does not guarantee more leads, revenue, or any specific business result

Ongoing support

Support follows the workflow and its providers.

Hosting, maintenance, monitoring, provider changes, and support responsibilities depend on the automation and are confirmed in writing.

Automation support

Ongoing support is quoted based on the system and support requirements.

  • Maintenance and dependency work where agreed
  • Monitoring and troubleshooting where agreed
  • Provider changes and support responsibilities confirmed in writing

Ongoing support is quoted based on the system and support requirements. External API, SMS, telephony, AI, and third-party software charges are separate unless explicitly included in the written scope.

Questions before you enquire

Know what the offer does—and does not—cover.

What is the Automation Pilot?

Automation Pilot is a tightly scoped project focused on improving one business workflow, such as lead handling, follow-up, customer intake, tool connection, or a repetitive administrative process.

Does Revenue Automation guarantee more revenue?

No. The work is designed to make a defined workflow more reliable and visible. Business results depend on the process, offer, demand, team, providers, and many factors outside the project scope.

Are API, SMS, telephony, AI, or third-party software costs included?

Not by default. External provider and software costs are separate unless they are explicitly included in the written scope.

Do you offer a packaged AI receptionist?

No. RCB Software does not currently offer a packaged AI receptionist. AI-assisted workflows may be considered when appropriate and are scoped around the actual process.

When should I choose a Custom Business System?

Choose a Custom Business System when the project needs a larger custom application, private accounts or records, dashboards, or several connected workflows rather than one focused automation.

Discuss my workflow

Prefer to describe the workflow directly?

Share what starts the work, where the handoff breaks down, and which tools or people are involved. I’ll help identify whether an Automation Pilot is a useful first scope.

Next step

Discuss the workflow that should stop depending on memory.

Answer a few practical questions and RCB Software will help distinguish one focused automation from a larger custom business system.
